The situation

Beyond Technology was engaged by a Queensland-based university to undertake a business-focused strategic review of the IT function, in preparation for the development of a formal strategic plan for the next five years.

The scope was strategic in nature and primarily internally focused on IT services. Core aspects of infrastructure, applications, service delivery and end-user experience were assessed to understand the environment, alongside the governance and strategic planning practices that would have to carry a five-year plan.

Why independent advice mattered

A five-year strategic plan built on an internal self-assessment inherits every blind spot of the function it describes. Teams assess their own services generously, historical decisions get defended rather than examined, and the plan ends up describing the IT function’s preferred future rather than the university’s required one.

An independent review gives the planning process an honest starting point: an objective view of the environment, its governance and its readiness, from advisors with no stake in the incumbent arrangements and nothing to sell into the plan that follows.

What we did

The review built the evidence base a credible five-year plan has to stand on.

01

Assessed the core IT environment

We reviewed infrastructure, applications, service delivery and end-user experience to establish an objective understanding of the environment as it stands.

02

Reviewed governance and strategic planning

We examined how IT is governed and how strategic planning operates, since a five-year plan is only as strong as the structures that will steer it.

03

Kept the review business-focused

Every element was assessed against the university’s requirements, keeping the review anchored to what the institution needs from IT rather than to technology for its own sake.

04

Prepared the ground for the five-year plan

We delivered findings that positioned the university to develop its formal strategic plan from evidence rather than assumption.

The outcome

  • An objective, business-focused view of the university’s IT services environment
  • An honest assessment of infrastructure, applications, service delivery and end-user experience
  • A clear picture of IT governance and strategic planning readiness
  • A sound, independent foundation for developing the formal five-year strategic plan

The university entered its strategic planning cycle with the one thing internal processes could not provide: an independent, evidence-based understanding of where its IT function truly stood.

Planning years ahead on an unexamined foundation?

If a multi-year IT plan is coming and the current environment has never been independently assessed, the review belongs before the plan, not after it.

The environment has never been independently reviewed

Infrastructure, applications and service delivery have grown over years without an objective outside assessment.

Governance has to carry the plan

Whatever the plan says, existing governance and planning structures will determine whether it happens. Nobody has tested them.
